Who is responsible?
The Water Works is operated by the company identified on our Contact page, which is responsible for the personal information described in this notice. Contact us at support@the-waterworks.com, on 01273 950001, or at 27 Beaconsfield Road, Portslade, BN41 1XA.
What we collect
When you enquire, we collect your name, email address, property postcode, customer type, selected service and message. You may also provide a phone number, company name and access arrangements. If you provide another person’s details, only include what is needed and ensure they know you are sharing them.
Please do not include passwords, alarm codes, key-safe codes, payment-card details, health information or other sensitive details in the form. We can discuss a suitable way of sharing necessary access information separately.
Our hosting and security providers may process technical information such as IP addresses, request times, device/browser information and delivery or error logs. The form uses a request identifier to prevent duplicate email sends and short-lived request counters to limit abuse.
Why we use it
We use enquiry information to respond, discuss the work or Atlas, arrange access, prepare quotations and take requested steps towards supplying a service. For a person enquiring about a contract with us, the basis is taking steps at their request before entering a contract and, where applicable, performing that contract.
For business contacts, tenant coordination and website security, we rely on legitimate interests in handling business enquiries, coordinating property services and protecting the website. We consider the effect on the people involved. Legal obligations may require us to retain particular records if an enquiry becomes work.
The form does not subscribe you to marketing. It does not make automated decisions about you or carry out profiling.
Where enquiries go
Form submissions are sent through Resend to support@the-waterworks.com. Authorised staff and people involved in arranging or carrying out the work may access relevant details. Our providers include OpenAI Sites for website hosting, Cloudflare for website infrastructure/security, Resend for form email delivery and Microsoft 365 for business email. They process information to provide those services. We do not sell enquiry information.
If an enquiry becomes a job or another service, relevant information may be entered into our operational systems to manage that work. This notice covers the website enquiry journey; additional information may be provided for other services.
Processing outside the UK
Some service providers operate internationally. Resend states that its primary processing is in the United States and its data processing terms include UK transfer safeguards. See Resend’s data processing terms. Our hosting and mailbox providers also operate internationally. Their published data-processing terms describe applicable safeguards. Contact us for information about the arrangements relevant to your enquiry. Provider links: OpenAI, Cloudflare and Microsoft. OpenAI’s Sites terms provide for processing needed to host and operate the site; where applicable its Data Processing Addendum applies. Resend’s standard DPA applies to its accounts and includes the UK transfer provisions. Microsoft’s online-service data processing terms govern its business email service. You can contact us for further information or copies of relevant safeguards.
How long information is kept
For enquiries that do not become jobs or Atlas customers, our policy is to retain the enquiry for up to 12 months after the last substantive contact, then review and delete it from the mailbox and related operational systems unless a legal obligation or dispute requires longer retention. If an enquiry leads to work, relevant records are retained for as long as needed for the service, applicable accounting or statutory requirements, and legal claims. Resend publishes a 30-day retention period for email and log data on its Free, Pro and Scale plans and a seven-day backup period. These delivery records are separate from our mailbox copies. Deleted mailbox items and backups may remain recoverable for the provider’s configured recovery period, or longer where a legal hold applies. Hosting/security information is kept for the period necessary to operate, secure and troubleshoot the service, and to meet legal requirements. Contact us for information about a particular record or a deletion request.
Your choices and rights
Providing information is voluntary, but without contact details and a description of the work we may be unable to respond or arrange a service. Fields marked optional are not required.
Depending on the circumstances, you can ask for access to your personal information, correction, deletion, restriction or a portable copy, and object to processing based on legitimate interests. These rights have conditions and exceptions. Contact support@the-waterworks.com to make a request or raise a concern.
You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint.
